This is ours, so take the framing with salt and check the claims. The design bet is narrow: the page a participant opens should be clean, instant, and require nothing of them. No ads on any tier. No account, no app, no login — they open the link, tap a slot, done.

The free plan gives you 3 active sheets at a time with up to 10 slots each and 25 sign-ups a month, and the features organizers usually hit a paywall for elsewhere — waitlists that auto-promote when someone drops — are on the free tier here. Pro is $9 a month or $90 a year and lifts the slot and sign-up caps, then adds week-ahead and morning-of reminders, custom branding and CSV and PDF export. Business starts at two organizer seats and prices per seat on graduated brackets, so a three-leader church pays roughly what a flat small-team price used to cost while a twenty-five-teacher school pays real money.

Where it is genuinely weaker: the free plan stops at 25 sign-ups a month, which a class party fits under and a school fundraiser does not. Past that you pay $9 a month for Pro or $7 once for a 30-day Event Pass. There is no SMS — reminders are email only. And we are the newcomer here; SignUpGenius has twenty years of familiarity that we do not.

Grasshopper Signup is the closest thing on this list to a direct competitor for us, and in fairness it currently out-ranks us for most of these searches. It takes the same core position — ad-free, free, mobile-friendly — and pushes much further on features than you would expect from a free product.

The list is long and unusually practical: kiosk mode that turns a form into a walk-up station with an auto-resetting start screen, QR code sharing, webhooks, Google Calendar and Google Sheets sync, contact lists with tags and saved message templates, a calendar view for date-based sign-ups, anonymous responses, and payment collection across Stripe, Venmo, PayPal and Cash App. Waitlists are there too, with automatic notifications when a spot opens listed as a Boost plan feature.

The catch is pricing opacity. There is no pricing page — the URL you would expect returns a 404 — and the paid Boost tier's cost is not published anywhere we could find. For an individual organizer that may not matter. For anyone who has to justify a line item, not knowing the number before you invest setup time is a real friction, and it is the main reason to look elsewhere.

SignUp.com sits closest to SignUpGenius in both shape and price, and competes with it directly. Published pricing is Basic free, Starter at $8.34 a month billed as $99.99 annually, Plus at $20.83 a month billed as $249.99 annually, and Max at $41.66 a month billed as $499.99 annually. Separately there is a Campus plan for K-12 schools starting at $99 a year.

That Campus plan is the most interesting thing here. School volunteer coordination is a distinct problem — many small sheets, rotating parent groups, a school year rather than a calendar year — and pricing a plan for it specifically is smarter than making a district buy a general-purpose tier. The weakness is that the free tier is narrower than SignUpGenius's, and the paid tiers do not undercut it meaningfully. You would pick SignUp.com for the volunteer-management orientation or the school plan, not to save money.

Doodle is on this list because people genuinely substitute it for SignUpGenius, but it is worth being clear that it is a different category of tool. Doodle's core job is finding a time a group can meet. Sign-up sheets exist, and the free tier includes what Doodle itself labels basic ones, with unlimited sign-up sheets and ad removal arriving on Pro.

If your actual problem is "when can the eleven of us meet," Doodle beats every other tool here and you should stop reading. If your problem is "fill these twenty slots with these twenty jobs," Doodle will do it, but you are using a scheduling product to do a roster product's work, and the free tier's one-poll-one-booking-page limit will find you quickly.

Pro is priced per seat and billed annually; Doodle's pricing page renders the figure dynamically and we could not read a reliable number, so check it directly. Enterprise starts at $15,000 a year, which tells you who the upper end is built for.

Google Forms is the honest zero-budget answer, and it is the wrong tool for most of the jobs people use it for. It has no model of a slot. Since January 2026 it can stop accepting responses at a set date or after a total number of them, which caps the form as a whole, but nothing caps an individual shift or option. Nothing stops two volunteers claiming the same shift, nobody can see what is already taken, and there is no waitlist and no reminder unless you build one with Apps Script or bolt on an add-on.

What you get in exchange is total control and a spreadsheet you already understand. For a simple headcount — who's coming, what's your dietary restriction, which t-shirt size — Forms is excellent and free forever. The rule of thumb: if your form only collects information, use Forms. If it allocates scarce things — shifts, slots, dishes, time — you want a sign-up sheet, and every hour you spend rebuilding slot logic in Forms costs more than any tool on this list.

Jotform is the most capable form builder on this list by a wide margin, and that is both the reason to pick it and the reason not to. Plans run Starter (free), then Bronze, Silver and Gold, then Enterprise with custom pricing, with limits scaling on submissions and storage.

The discount structure is the standout: 50% off Bronze, Silver and Gold for nonprofits and educational institutions, and 30% off Enterprise. If you are a registered nonprofit and you need real conditional logic — branching questions, calculated fields, approval workflows — Jotform at half price is hard to argue with, and no dedicated sign-up tool comes close on form power.

But submissions-and-storage limits are an awkward shape for event work, where usage is spiky rather than steady, and slot caps are something you assemble rather than something you get. Jotform's own guide does it with an inventory widget per slot that counts down and blocks the slot at zero, and its appointment field can cap a time slot at a set number of attendees. If the job is meals for a family after a birth, a surgery, an illness or a death, stop comparing general-purpose tools and use Meal Train. This is the clearest recommendation on the page.

The reason is that the hard part of a meal train is not slot allocation, it is the recipient's context — what they can eat, what they are allergic to, when they can actually receive food, and how to communicate all of that to thirty people without the family repeating it thirty times. Meal Train treats those as the primary fields of the product. A general sign-up sheet makes them custom questions you have to think to ask.

Creating a page is free. It has organized over 120 million meals for 4.4 million families, and roughly 20,000 families receive a meal through it daily. For anything that is not a meal train it is the wrong tool entirely, and for a meal train it is better than we are. Perfect Potluck has been running since 2010 and does exactly one thing: a sign-up sheet for a group meal, structured so you end up with a balanced spread instead of nine desserts. It is free, it sends the invitations and reminder emails, and you can have one running in about five minutes.

It also looks and feels like it was built in 2010. Finding a sheet again means entering the coordinator's last name and a password rather than following a link, and nothing about the layout was designed for a phone. For a church supper where the audience is used to it, none of that matters much.

VolunteerLocal is the only entry here that is unambiguously not for individuals. Published pricing is Discover at $600 a year, Grow at $2,400 a year, and Enterprise on request, with no free tier — though you can trial it without a credit card.

What that buys is a different class of product. Unlimited volunteer records, events, jobs and shifts at every tier. Hours and attendance tracking, applicant vetting, credentials and badges, group registration, job- and shift-level permissions, a volunteer mobile app, and 10,000 SMS a year on Discover rising to 50,000 on Grow. If you run a festival, a food bank or any program that has to report volunteer hours to a funder, these are not nice-to-haves.

If you are organizing a classroom snack rota, this is wildly the wrong end of the market. The line is roughly whether anyone asks you for a report. If someone does, look at VolunteerLocal; if nobody does, almost anything else here is a better fit.

It would be strange to publish a list of alternatives without saying when you should not switch, so: if you are already on a paid SignUpGenius tier and your group knows the interface, switching probably costs you more than it saves. Familiarity has real value. When a parent gets a SignUpGenius link they know what to do with it, and that is worth something no feature table captures.

The shape to understand before you renew is how ad-free scales. Silver removes ads from one sign-up. Gold raises that to ten and adds waitlist management, tabbed sign-ups and scheduled start and stop dates. Platinum makes it unlimited. So the question is not really "is the free tier good enough" but "how many concurrent sheets do I run, and what does ad-free cost at that number." If the answer is one or two, Silver is cheap at $8.99 a month billed $107.89 annually. If you run a dozen sheets across a school year, you are looking at Gold at $22.49 a month billed $269.89 annually, and at that price it is worth twenty minutes comparing the rest of this page.
