Running a classes & appointments sign-up
Set capacity to the room, not to optimism
The cap is what stops a class being oversold, so it should be the number of mats, chairs or seats that physically exist. If you want a buffer for no-shows, add it deliberately and keep a waitlist behind it rather than quietly running the room over its limit.
Use a one-person cap for anything one-to-one
Office hours, tutoring, photo slots and conferences are all the same shape: a time that holds exactly one booking. A per-slot cap of one gives everyone a live view of what is left and ends the back-and-forth of proposing times by email.
Close the sheet when the roster is final
Share the link when you are ready for sign-ups, and close the sheet from its manage page once you have the roster you want to print. It matters more for recurring sessions, where an always-open sheet slowly becomes a list nobody trusts.
