How many of each dish to ask for, how to get them claimed, and how to keep the table balanced.
A potluck sign-up sheet lists the courses you need and how many of each, so guests claim a dish instead of guessing. How to run a potluck sign-up

Ask for courses, not dishes
Make one line per course: mains, sides, appetizers, desserts, drinks, and the plates-and-ice run nobody volunteers for. Naming the exact dishes turns the sheet into a menu you have to write; naming courses lets people bring what they cook well.

Put a number on every course
A quantity is what stops the dessert pile-up. Once desserts show four of four taken, the next guest picks a side instead. Use the table below for a starting point and round up if your crowd eats like a youth soccer team.

Ask what they are bringing, in the note
Every sign-up has an optional note. Ask guests to use it for the dish and anything in it people should know about: nuts, dairy, gluten, meat. It gives you a menu to check for gaps, and a list of allergens before anyone has unwrapped a dish.

Share it where your group already talks
The group chat, the team email, the church bulletin. Every sheet also has a printable flyer with a QR code for a break-room wall or a noticeboard. One share early and one a few days before is usually enough.

Close it when the table is full
Once the courses are covered, close the sheet from its manage page so late arrivals bring themselves instead of a seventh pasta salad. You can reopen it if somebody drops out and leaves a gap.

Rule used: a main dish serves about eight, sides one per five guests because people take a little of several, appetizers, desserts and drinks one per ten, and one supplies run per 25 guests. It is a starting point. A lunch needs less than a dinner, and a crowd of teenagers needs more of everything.

Knowing how many people are coming
MySignMeUp has no guest-count field, so a dish sign-up does not tell you how many people are coming. Two ways round it: add a line called "Just coming" with no limit, so non-cooks can say they will be there, or ask everyone to put their party size in the note ("bringing coleslaw, 3 of us"). Each claim, a "Just coming" one included, counts as one sign-up toward the monthly limit.
What this costs
The free plan covers unlimited sheets with up to 10 lines each and 25 sign-ups a month, with no ads shown to your guests. Each dish claimed is one sign-up, so a 30-guest potluck using the table above needs about 21 and fits; a 50-guest one needs about 34 and does not. For a one-off event, an Event Pass is $7 once for 30 days of Pro, and new accounts start with a 14-day Pro trial. Automatic email reminders are a Pro feature ($9 a month). There is no SMS on any plan.

When guests need to see exactly who is bringing what
The public sheet shows how many of each course are taken, never who took them or which dish they named. That keeps guest lists private, but some groups want to read "Sam: lasagna" before deciding. A shared Google Sheet does that for free, and Perfect Potluck is built around it.
Eight friends in a group chat do not need a sheet
If everyone is already in one thread and the host can see the replies, a quick "who is bringing what?" message is faster than any link. A sheet earns its keep when the group is big enough that nobody can hold the menu in their head, or when half the guests do not know each other.

Common questions
How many dishes should I ask for at a potluck?
For 20 guests, ask for 3 mains, 4 sides, 2 appetizers, 2 desserts, 2 drinks and 1 supplies run. Roughly: one main per eight guests, one side per five, and one each of appetizers, desserts and drinks per ten. Round up for dinner, down for lunch.
Can guests see what everyone else is bringing?
They see how many of each course are taken and how many are still open, which is what stops duplicate desserts. They do not see names or the dish someone wrote in their note. You, as the organizer, see all of it on the manage page.
Can one guest sign up to bring more than one dish?
Yes. Guests can tick several lines and submit them together, so a family bringing a side and a dessert does it in one go. Each dish claimed counts as one sign-up toward your monthly limit.
Do guests need an account to sign up?
No. They open the link, pick a course, add their name and email, and they are done. Accounts are only for the organizer who creates and manages the sheet.
Can I send guests a reminder before the potluck?
Every guest gets a confirmation email with a link to cancel. Automatic reminders, a week before, the day before or the morning of, are a Pro feature at $9 a month, or included with a one-off Event Pass. There is no text-message option.
